We analyse your requirements, develop a viable concept and support you in selecting, implementing and operating suitable systems for your technical documentation.
You invest in solutions that match your objectives – not in systems that only sound good in theory. You know exactly which changes will advance your documentation. And your team supports the decisions because they are based on solid foundations. You achieve these results through consulting for your technical documentation with kothes:
You are certain that the new system meets your requirements and only invest in what really moves you forward.
You create content faster, maintain it more efficiently and reuse it – even with many product variants and languages.
You use tools that fit seamlessly into your IT landscape – without friction, without isolated solutions.
Your workflows work in day-to-day practice and are accepted by your team – not grand designs that have little to do with reality.

With koKI translation, you can manage machine translation (MT), machine translation + post-editing (MT+PE) and human translation (HT) in a single process, tailored to the use case. Terminology and translation memories ensure consistent specialist language.

We analyse your initial situation and develop a target vision for your technical documentation. Depending on the task, this includes processes, information architecture, modularisation, metadata, publication and the integration of existing systems. The result is an actionable concept with clear recommendations – independent of any manufacturer.

We translate your specialist and technical requirements into comprehensible selection criteria. We then support you with market analysis, preselection, vendor discussions and system tests. In doing so, we assess not only functions, but also usability, integration, hosting, support and working with your own use cases. kothes is vendor-neutral. We assess the full range of systems available on the market and recommend the one that best meets your requirements.

We support the implementation from setup and configuration through to productive use. This can include roles and permissions, storage structures, content and metadata concepts, interfaces, migration, training and an initial master project. This turns installed software into a system that truly supports your technical documentation work.

Our support does not end at go-live. If required, we can take on agreed tasks such as hosting, technical and functional support, and the ongoing development of your system landscape. Together, we assess how content, processes and system functions can be further improved during operation.

Every project is different. When we support you throughout the entire journey, our collaboration typically follows four stages. We tailor the scope and level of detail to your starting point and objectives.
We assess your content, processes, systems and organisational context. Together, we identify areas for improvement and define how the project’s success will be measured.
We develop the professional and technical concept, derive requirements and evaluate suitable solution approaches. If a new system is needed, we support the selection and testing.
We set up structures, processes and systems, connect interfaces and support the migration of existing content. Our training prepares your team for the new way of working.
Once you are up and running, we support you with day-to-day operations as needed. Together, we review your experience in practice and systematically develop your content, processes and system functionality.
A new standard for technical information: SCHAKO partners with kothes to establish digital processes
SCHAKO KG, a manufacturer of components and systems for ventilation and air conditioning technology with a focus on solutions for buildings and industrial applications, set out in 2024 to professionalise their technical documentation by defining standardised cross-site processes, clarifying responsibilities and introducing a CCMS (component content management system) as the basis for modular content. kothes supported SCHAKO throughout this journey – from the structured assessment of the current situation and the selection of a suitable authoring system through to the implementation of the Paligo system from the manufacturer of the same name, including a proof of concept.

“We were particularly impressed by kothes’ technical know-how and many years of industry experience in the field of content management systems for technical documentation. We received ideal advice throughout the entire selection phase and were finally able to find a system that precisely fits our processes and requirements.”
Frank Schmidt
Head of Technical Service
Continental Automotive Aftermarket

“With Paligo and the new processes, our Technical Documentation department has reached a completely new level: We now have clear roles, transparent workflows and a platform where everyone works together. Changes and new requirements are now channelled properly through the request portal, we can reuse content in a targeted way and deliver it appropriately for different audiences. kothes helped us turn many isolated activities into a professional, future-ready documentation organisation.”

are looking for an independent, vendor-neutral system selection.
want to benefit from the practical experience of technical writers using different systems.
do not only want to compare functions, but also take content, processes and daily authoring work into account.
want to obtain consulting, system selection and system implementation from a single source.
are also looking for a reliable partner for licences, hosting, support or operation.
want to further develop an existing system or determine whether switching systems is the right choice.
expect a complex system to be fully implemented and operational within just a few days, regardless of the circumstances.
assume that a system organises content and processes on its own without a professional concept.
do not want to schedule time for familiarisation, qualification and the involvement of future users.

kothes provides vendor-neutral consulting, but at the same time works with selected system providers. These partnerships enable us to introduce systems, provide licences and support our customers later during operation. When licences are purchased through us, we also earn money from this. We disclose that openly.
Our partnership contracts offer comparable commercial framework conditions. This means that there is no decisive financial incentive for us to prefer a particular partner system. Our recommendation is determined by the professional, technical and economic requirements of your company.
We additionally ensure independence through a clear selection process. We define the requirements together with you, compare several suitable systems based on transparent criteria and document the results. The result is a well-founded recommendation with a clear ranking of the most suitable systems. The decision about which system to purchase, and from which vendor, is entirely yours. The outcome may also be to further develop an existing system or to improve your processes and organisational structures first.
The timescale depends on your starting point, the number of people involved, your requirements and the scope of the implementation. The solution concept, interfaces, content migration and training also affect the duration. Following an initial analysis, we can estimate the level of effort involved and draw up a realistic project plan. As a rule, a complex system cannot be fully implemented and ready for productive use within just a few days.
The costs depend on the scope and complexity of the project. A clearly defined system selection can start at around 3,000 to 5,000 euros. Where numerous requirements, systems and stakeholders need to be considered, workshops have to be conducted and testing supported, the cost of a system selection project can reach the mid-five figures. Licence and system costs are not included.
There is also a wide range when it comes to implementation. A limited implementation that essentially consists of setup and training can be in the low thousands. If interfaces, migrations, individual configurations or technical writing services are added, implementation can reach the mid-five figures. Once your requirements have been clarified, you will receive a transparent effort estimate.
The costs depend on the system, the number of users, the range of functions and the licensing and operating model. As a general guide, cloud-based content management systems for small teams cost between a few hundred and several thousand euros per month. If you purchase a system outright, you should generally expect an initial investment in the five-figure range. More extensive or highly customised solutions can cost significantly more.
In addition to the cost of the system itself, you should budget for implementation. This may include setup and configuration, training, data migration, interface development and the migration of existing content. Depending on the scope, these costs can range from a few thousand to tens of thousands of euros.
We will get back to you as soon as possible.
